Exhibitor Event Info

Move-In:

  • Friday, February 28, NOON – 5 PM. Must Be In by 4:30pm
  • Saturday, March 1, 7 AM – 1 PM. Must be set by 11:30am

Move-Out: 

  • Sunday afternoon, after the show, 4 PM – 8 PM. 

Festival Hours: 

  • Saturday  Noon – 9 PM
  • Sunday Noon – 5 PM

Equipment Provided: Curtain dividers & 1 parking pass (additional passes can be purchased). Tables, chairs, carpet, and wastebaskets are also available for a nominal fee.

When designing your booth space, do not create a tall wall between you and the adjacent booth spaces. Line of site required for attendees to see adjacent space.

Metro Productions Inc. has final say at the event for booth set up. If any questions send us a diagram of your space (does not need to be fancy).

WiFi:  We provide, FREE, a point-of-sale WiFi.  If you need it more powerful, you can purchase access from Expo Center.  Password is available in the Show Office.

Parking Passes:  Every vendor gets one.  When you arrive, the parking attendants will mark you off a list so you can park.  Your parking pass will be in your exhibitor packet.  This pass is good for In / Out privileges throughout the day.  If you need extra exhibitor parking, you can buy them from us at check-in. $36 for the show, cash or check.  You can park daily using the Expo paid parking, but those passes do NOT allowing in/out privileges.

Vendor Badges:  Every booth gets four.  They will be in your exhibitor packet.

Exhibitor Check-In:

  • Friday, back of the Expo Center, Hall E, Noon – 5 PM.
  • Saturday, Show Office in Hall E lobby.

There is limited access for vehicles to unload in the hall.  Please be patient.

Electrical & Gas: 

  • Electric – order through Edlen Services.
  • Natural Gas:  Order through the Expo Center.

Garbage / Recycle:  Available throughout move-in, and at the end of each day.  Please recycle your glass (blue), broken down cardboard (cages) and garbage (grey).  For restaurants, you also get green compost carts for FOOD ONLY!  Please help us to keep things clean, especially at the end of the show.  Annie and I have to clean the whole 108,000 square feet!  Please help do your part.

Food Permits:  If you are selling food that is NOT prepackaged, you likely need a temporary food permit from the Multnomah County Dept. of Health.  You can apply for it online.  At 72-hours before the festival opens, the fee increases dramatically.

Liquor Permits:  If you are selling/sampling liquor, you will need a liquor permit from the OLCC.  Attached is a master Plan to Manage.  You will need to start your permit process with the City of Portland liquor permit portal.  It will guide you from there.  Because of the City’s new portal system, Metro can no longer collect the permit applications and submit them for you.

Insurance Certificates:  Required ONLY if you are selling food or beverages or any type.  You MUST have liability coverages of at least $500,000.  Any vendor handling alcohol must also have liquor liability of at least $500,000.  Metropolitan Productions, Inc. and the Portland Expo Center must be named as Additional Insured’s.  Certificates of insurance can be emailed to seanguard@comcast.net, or mailed to:

Outdoor Cooking:  If you plan to cook outdoors and are using propane, you will also need a “Propane Permit” from the Portland Fire Marshal’s Office.  It can be applied for on-line.
